Volunteer Opportunities:

Lodi Arts Project Fund Board Member

The board of the Lodi Arts Project Fund is a working board.  We assist the Lodi Arts Commission by raising money and providing financial assistance for all types of local arts events.  Even though the Arts Commission is staffed by paid professionals, most event-related tasks are performed on a volunteer basis.  The board’s active involvement keeps ticket costs at an affordable level.  The board consists of up to 11 public voting members and 2 Arts Commission members.

 

BOARD OF DIRECTOR POSITIONS

To serve on the Board of Directors, a candidate must…

  • Contribute a significant financial gift or in-kind contribution.
  • Commit to serve a term of office of three years, beginning at the annual meeting in the year elected.
  • Attend monthly board meetings which are usually held on a Wednesday afternoon.
  • Agree to fulfill the responsibilities delineated in one of the positions listed below or an equivalent position.

Legal advisor

  • Determine that LAPF is following bylaws and parliamentary procedures
  • Review bylaws for annual amendments
  • Review contracts as necessary

Secretary

  • Notify board members of board meetings
  • Maintain attendance records; if a pattern of absence is noted, Secretary will determine if member intends to remain on board
  • Maintain and distribute list of board members along with their contact information
  • Keep a record of all actions; take and distribute minutes

Public Relations

  • Distribute event information for all media calendars; write and distribute press releases
  • Network with media, find and fulfill any additional media requests
  • Work with Arts Coordinator to develop marketable themes for annual programs
  • Coordinate the design and placement of all advertising (from print to radio).
  • Ensure LAPF visibility through directory listings, swaps, etc.

Audience Development

  • Perform market research to determine how best to gain new audience

Fundraising

  • Sell ad space in LAPF programs; arrange for in-kind donations; follow up on delivery of copy prior to each program
  • Find additional corporate sponsorships
  • Work with Arts Coordinator and grant writer to secure additional grants

Programs and Concerts

  • Arrange for concessions staffing, ticket collection, program distribution, refreshment set-up and clean-up, purchase of paper goods as necessary
  • Make arrangements with venue for presence of stagehand and give instructions

Finance

  • Develop and supervise adherence to annual budget
  • Maintain or supervise the maintenance of all financial records
  • Provide cash for change for concert ticket purchases at box office
  • Manage LAPF’s investments
  • File tax reports
  • Provide monthly financial statements to the Board
  • Update annual Secretary of State forms and other legal forms as needed

Historian/Librarian

  • Create and present annual report
  • Maintain historical records, including reviews and concert programs
  • Maintain an index of performances and dates of performance
  • Maintain catalog of artists’ photographs


NON-BOARD VOLUNTEER POSITIONS

Education and Outreach Intern

  • Help plan outreach programs
  • Meet with teachers, principals and other officials of local schools to discuss collaborations, needs, etc.

Marketing Intern

  • Help plan ways to promote our programs
  • Distribute flyers/posters to various community gathering points (e.g., book stores, coffee shops, libraries, arts theatres)
  • Target special interest groups based on the content of particular programs
  • Promote LAPF programs to community organizations

Fundraising Intern

  • Help in the implementation of fundraising projects. Sell advertising space in concert programs

Event Ushers

  • Collect tickets
  • Distribute concert programs
  • Assist in setting up and cleaning up green room before and after the event

ASSIST OUR COMMISSIONERS

The Arts Commissioners are always looking for enthusiastic individuals who would like to help out on any of our committees. Though a voting position on the Arts Commission must be appointed by the City's mayor, you are always welcome to join us at our monthly meetings or assist on any one of our committees.
